DistrX.io
wholesale erp · orders · warehouse · routes

Wholesale distribution ERP software for US distributors: The ERP that runs the whole warehouse.

DistrX.io is built for wholesale distributors. It takes the order at the customer's price, picks it from the right warehouse and lot, puts it on a truck, invoices what was delivered and chases what is owed. Your reps, your warehouse, your drivers, your customers and your books all work in one system.

Features

Everything a distributor runs on. In one place.

It replaces the order book, the warehouse spreadsheet, the route sheet and the stack of invoices waiting to be typed into accounting. Every job is done in one system, by the people who do that job.

Order entry at the speed of the phone call

Type a few letters, a SKU or a UPC and the customer's price is already on the line. You can repeat last week's order, switch between cases and eaches, and see what's available in every warehouse as you type.

Price levels & contracts

Give every customer a price level, then add contract prices, quantity breaks and break-case pricing on top. The right price lands on the order wherever it was taken.

Multi-warehouse stock

On hand, allocated, available and in transit for every warehouse. Transfers count in neither warehouse while they are on the road.

Lots & expiry

Record the lot and expiry date when stock comes in. Pickers are sent to the lot that expires first, and every lot can be traced to the invoices it went out on.

Scan-to-pick

Pick lists come in walking order by bin. A scan confirms the item, the unit and the lot, so a wrong pick is caught before it reaches the truck.

Purchasing

Reorder points and lead times turn into suggested POs. Receive against the PO, leave shorts open, and spread freight into landed cost.

Sales rep app

Your reps get the day’s visits, each customer’s usual order and their prices. They can take an order with no signal, and it sends itself when the phone reconnects.

B2B ordering portal

Customers order online at their own prices, repeat a past order in one click, see the delivery cut-off and pay their invoices.

Routes & proof of delivery

Build routes by day and truck. Drivers record short, damaged and refused items and get a signature, and the invoice follows what was actually delivered.

Invoicing & terms

Net terms, early-payment discounts, credit memos and statements. Invoice numbers have no gaps, and every invoice has a PDF.

Credit control

Each customer has a credit limit and aging that is always up to date. Orders that break your rules go on hold until a manager releases them.

Accounting sync

Invoices, payments, credit memos and vendor bills go to QuickBooks Online on their own, so nobody keys them in twice.

Margin you can see

Sales and gross margin by customer, product, rep and route, worked out from landed cost. Every list exports to CSV.

Bring your data

Import products, units of measure, customers, price levels, opening stock and open invoices from CSV or Excel. You see a preview before anything is saved.

Roles & audit trail

Reps don’t see costs and pickers don’t see prices. Every change to an order, a price or a hold is recorded with who made it.

One system, on every screen

It runs in the browser, so there are no servers to look after. It works on office desktops, tablets on the warehouse floor and phones in the truck, and your customers get their own portal.

Try it

Build a sample order. Right here.

Pick a customer and watch their price level, terms and credit limit take over. Switch between cases and eaches, go over the limit, and confirm. Nothing is saved or sent.

Order to cash

One order, all the way through

Every order goes through the same six steps, and each step is part of the same record. The invoice knows what the driver delivered, and the aging knows what the invoice said.

  1. 01 /

    Order

From a rep’s phone, the customer portal or the office taking a call — always at that customer’s prices.

    SO-10482
  2. 02 /

    Allocate

Stock is reserved from the right warehouse and lot the moment the order is confirmed. Short? It backorders.

    15 units held
  3. 03 /

    Pick & pack

A pick list in walking order. Every scan checks the item and the lot, and catch weights are captured.

    Bins 02 → 12
  4. 04 /

    Deliver

The order joins a route. The driver records what was delivered, short or refused, with a signature.

    Route 3 · stop 2
  5. 05 /

    Invoice

Invoiced from what was delivered, not what was ordered, on the customer’s terms. Refusals become credit memos.

    Get paid

Payments apply to the oldest invoices first, statements go out, aging stays honest — and it all syncs to accounting.

Orders & invoicing

From the phone call to the invoice

Take the order the way the customer gives it: on the phone, through a rep or on the portal. DistrX.io applies their prices, holds the stock, sends a pick list to the warehouse and bills what was actually delivered.

  • Quotes turn into orders and orders turn into invoices, with nothing typed twice
  • Last week’s order repeated in one click, then edited
  • Backorders kept open by themselves and filled when the stock arrives
  • Invoiced from proof of delivery, with refused items turned into credit memos
  • Net terms, early-payment discounts and statements by email

Stock that’s true to the lot and the bin

You can see every warehouse, bin, lot and case in transit. Confirmed orders hold stock straight away, pickers are sent to the right bin and lot, and the expiry dates coming up are shown before they become a write-off.

  • On hand, allocated, available and in transit for each warehouse
  • Lots and expiry dates captured when stock is received, and picked first-expiring-first
  • Each, pack, case and pallet, each with its own barcode and price
  • Cycle counts done blind, with variances shown at cost before you post them

Purchasing

Buy what you’ll sell — and know what it cost

Reorder points and vendor lead times turn into suggested purchase orders. Receive against the PO at the dock, leave shorts open on the PO, and spread freight so margin is worked out from what the stock really cost you.

  • Suggested POs from recent sales, reorder points and each vendor’s lead time
  • Receiving that records lots, expiry dates and short or damaged items
  • Landed cost: freight and charges spread across the lines of the PO
  • Vendor bills sent to accounting once the stock is received

Reps, portal & routes

Out in the field, on the same system

Reps sell from a phone, customers order from the portal and drivers deliver from a route. Each of them sees the same prices, the same stock and the same order, so the office stops relaying things between them.

  • The rep app has the day’s visits, usual orders and each customer’s balance, and works offline
  • Customers order 24/7 on the portal at their own prices, before your cut-off
  • Routes by day and truck, with the stops in order
  • Proof of delivery with signature, photo and what was short or refused

Control

Your margins, your rules

Built for owners who answer for every price and every dollar of credit. You set clear limits on who can do what, and there's a record of who did it.

How we keep it safe

Every company walled off

Each company’s products, prices, customers and orders are kept separate on every read and write. Portal customers only ever see their own account.

Roles that fit the job

Owners, sales managers, reps, warehouse, purchasing, drivers and accounting each see what their work needs, and nothing more.

Costs stay private

Cost, landed cost and margin are hidden from reps and the warehouse unless you say otherwise. Price levels can only be edited by the people you choose.

Holds need a manager

An order over its credit limit, below cost or for a customer past due waits for a manager to release it. The release is recorded with their name.

Everything on the record

Price changes, holds, releases, stock adjustments and voids all leave a record, on the document’s own timeline and in the audit log.

Numbers that add up

Each change that touches several records is saved all at once or not at all. Stock moves and payments are written to a ledger that can be added up again at any time.

FAQ

Questions, answered

Who is DistrX.io for?

Wholesale distributors who sell to businesses: food and beverage, convenience and tobacco, janitorial and paper, general merchandise. It suits companies with one warehouse or several, a few reps or a few dozen, and their own trucks or a carrier.

What does it replace?

Usually a mix of an old desktop order system, spreadsheets for stock and pricing, paper route sheets and invoices typed again into accounting. In DistrX.io, orders, inventory, purchasing, routes and receivables share one database, and your accounting software gets everything without anyone typing it in.

Can every customer have their own prices?

Yes. Each customer has a price level, and you can add contract prices for a customer or a group with start and end dates, quantity breaks, and a separate price when a case is broken into eaches. The same price appears whether the order is taken in the office, on the rep app or on the portal.

Does it handle cases, packs and eaches?

Yes. Each product can have several units of measure, such as each, pack, case and pallet, with a barcode and a price for each one. Stock is always counted in the smallest unit, so selling by the case and by the each never drifts apart.

Can I run more than one warehouse?

Yes. Every warehouse has its own stock, bins and lots. Orders are filled from the warehouse you choose, transfers between warehouses are tracked while they are on the road, and reports show every warehouse together or one at a time.

Do you track lots and expiry dates?

Yes. Lot numbers and expiry dates are recorded at receiving. Picking suggests the lot that expires first, and any lot can be traced to the customers and invoices it went out on.

Does the rep app work without signal?

Yes. The rep app keeps each rep’s customers, prices and usual orders on the phone. An order taken with no signal is saved and sends itself when the connection comes back.

Can my customers order online?

Yes. The B2B portal shows each customer your catalog at their own prices. They can repeat a past order, see your delivery cut-off and the next delivery day, and view and pay their invoices. Portal orders arrive as sales orders, held for review if you prefer.

Which accounting software does it work with?

DistrX.io syncs invoices, payments, credit memos and vendor bills to QuickBooks Online. If you use something else, tell us on the demo call and we will tell you straight what works today.

How long does it take to go live?

It depends on how many products, customers and warehouses you have, and how clean the data is. A typical move takes a few weeks: we import your products, customers, price levels, opening stock and open invoices, train each team, and run alongside your old system before you switch over.

How is it priced?

By the size of your operation (warehouses and users), not by how many orders you take. We quote after the demo once we know what you need, and the quote is in writing.

Is my data kept apart from other companies?

Yes. Every company’s data is separated on every read and write, portal customers only see their own account, and staff only see what their role allows. Costs and margins are hidden from roles that don’t need them.
